Making an APA reference list
- Choose the source type: journal article, book, chapter, web page or report.
- Paste the DOI and press Look up, or enter the details yourself.
- Compare the preview with your source, paying attention to author names and capital letters in the title.
- Add it to your list, which is kept in alphabetical order as APA requires.
- Copy the list into your document and give it a hanging indent if your template doesn't already.
APA 7 in brief
APA style is set out in the Publication Manual of the American Psychological Association. The 7th edition came out in 2019 and is the current version. It pairs author-date citations in your text with an alphabetical reference list.
Compared with the 6th edition, APA 7 is simpler. Publisher locations are gone, DOIs are written as https://doi.org/ links, and "Retrieved from" only appears for pages that are meant to change over time.
Citing in the text
Every entry in the reference list must be cited at least once in the text, and every citation needs an entry. Use a parenthetical citation at the end of the sentence, or a narrative one that names the author as part of it.
- One author: (Jackson, 2019) or Jackson (2019)
- Two authors: (Smith & Patel, 2021), or Smith and Patel (2021) when part of the sentence
- Three or more authors: (Grady et al., 2019), starting with the first citation
- Organisation as author: (World Health Organization, 2023)
- Quoting directly: (Jackson, 2019, p. 45)
Details that catch people out
Titles of articles and books use sentence case: a capital only for the first word, the first word after a colon, and proper nouns. Journal names keep their normal capitals and are italic, as is the volume number.
